COMPUTERS FOR NEW UNDERGRADUATES 2021

The Faculty of Science wants to give new students a good start to their undergraduate work by lending them a laptop computer.

You may have the loan of a laptop computer if you fulfil the following criteria:

  • You have been admitted to one of the BSc programmes at the faculty in the main admissions for 2021 or through the open channel.
  • You are a first-time student at the faculty. Students who have postponed their registeration as 'attending student' to autumn 2021 for a good reason, may also have a laptop.
  • You have registered on page https://matlu-fuksilaite.helsinki.fi/ by Friday, 17th September, 2021, to be eligible for the loan of a laptop.
  • You undertake to start your studies in the faculty's bachelor's program
  • You have completed or undertake to complete the course DIGI-A Student´s Digital Skills: Orientation (2 cr) https://studies.helsinki.fi/instructions/article/students-digital-skills.

The computer must be fetched lastest on Friday, 17th September, 2021, or agreed on a time and date when you will fetch it by that time. After that, all reservations will expire and any computers left will be reassigned for other purposes, and will not be available for new undergraduates any more.

TERMS

Loan Agreement

The computers on loan are the property of the University of Helsinki and will be lent for personal use only. Recipients may not transfer or hand it over to anyone else. The markings and identifying information on the device may not be removed or covered up. The device must be returned if the student transfers to an education programme that does not belong to the Faculty of Science at the University of Helsinki, drops out of university education, or the student graduates as MSc. However, the device must be returned after 5 years at the latest, i.e. at the end of autumn term 2026. Broken laptops must also be returned.

In practice, the loan of a laptop is contingent on dedicated studying from the start of your first study period, since it is required that you complete at least 20 credits during your first academic year in order to keep using the laptop. Attendance and the progress of studies are reviewed annually from Sisu.

The student is responsible for the device and is bound to repay the University of Helsinki for losing the device.

Since you may be liable to compensate for any damage to the computer, you may want to check with your insurance company wether the third-party insurance policy on your home insurance will cover university property lent to you.

The devices may be remotely manageable. For remote management, the university maintenance rules will be followed. The maintenance team may lock the device or empty it in e.g. cases of theft. Students are obliged to keep their borrowed laptops in good condition. This includes allowing the installation of operating system and software updates that are automatically offered to the device. Blocking the remote management systems that may have been installed on the computer is forbidden unless you have permission from the faculty.

WHAT TO DO IN CASE OF DAMAGE OR THEFT

The student may be obliged to compensate for any damage to university property. University property means any kind of property, including intellectual property. A police report must be made if a crime is involved, e.g. theft. Please attach a copy of your police report. If the device is returned to the user, please also report that.

The general rules for compensation for damaged devices are:

  • If the damage could not have been prevented in any way, it is deemed an accident and there is no liability to compensate.

  • If preventing the damage would have required significantly more care than could normally be expected in the situation, it is accorded slight negligence and you are not liable for compensations.

  • If the damage could have been avoided with normal, everyday carefulness, it is accorded negligence and the user is required to compensate for it. The compensation consists of either the cost of repairs, or if the device is beyond repair, its depreciation value including VAT before the damage. When calculating the depreciation value, it is assumed that the device has a lifespan of five years. The compensation may be made more equitable for various reasons.

DISTRIBUTION OF THE DEVICES

Most of the devices are distributed according to tutoring groups in order to avoid a rush, in the entrance hall of Physicum (Gustaf Hällströmin katu 2)) as follows:

  • Monday 30 August, 2021, at 10.00-14.00,
  • Tuesday 31 August, 2021, at 10.00-14.00 and
  • Wednesday 1 September, 2021, at 10.00-14.00.

Distribution on Friday, September 17, 2021 has been canceled because all computers purchased in advance have already been distributed (and a pick-up time has already been agreed for the rest).

If you want a laptop, confirm that you want a laptop: send an e-mail to the person coordinating the distribution of freshman laptops [Pekka.Niklander@helsinki.fi]. This is how you get to the laptop queue. Without this, your booking will be canceled. Once we know how many more laptops are needed, the faculty will be working to acquire more computers.

Unfortunately, the importer has reported that due to global chip shortages, closed assembly plants closed due to pandemic, and international cargo problems, availability is very poor and getting additional computers will take really long time (December?). Those in the queue will be notified as soon as we get more computers.

When receiving a computer, students will sign a lending contract vowing to commit to following the lending terms. In any cases for compensation, the supply price including VAT for a laptop device will be applied. You can check your status through the reservation system: https://matlu-fuksilaite.helsinki.fi/

Freshman laptops of all years can be returned to the Kumpula campus local IT support. Local support is available on weekdays from 9 am to 3 pm on the 2nd floor of the Exactum building (rooms A216 and A220-A223). At other times, during the opening hours of the property, the device can also be returned to Exactum porters. Please attach a note with your name with the device, so that the machine can be registered as returned. No files need to be removed because the laptop disk will be overwritten before new usage. Be sure to copy your files and return as well the charger.

The University of Helsinki will ensure the further use of the devices either on campus or via their collaborative partners. The computers may not be bought for your own.
